Part 4: Add taxes and line items

Line items are simply the items that will appear on your customer’s invoice. You can assign a description, average cost, and up to two tax rates per item. This data will populate by default into your invoice template.

The system allows you to keep an unlimited amount of tax rates, ideal for companies having to track taxes across many cities, states, or counties.

Reporting is available in GorillaDesk for tax liability. You can see how much tax has accrued during a selected quarter or year on a cash or accrual basis.

Line Items are simply the items that will appear on your customer’s invoice (i.e. the service you are charging for).

How do items differ from services?

Items are the line items that appear on your invoice. This is how you charge for the service your provide. 

On the other hand, a service is your job template and includes the: 

  • Job details.
  • Recurring frequency. 
  • Invoice. 
  • Materials.

You want to think of this job template as a blank skeleton. Your job is to fill in this skeleton with as much information as possible. The more information that is filled in ahead of time, the more information that will come pre-loaded when you use a service template to create a job for your customer.

Tips and Tricks

  • Often your item name can and will reflect closely to your service names.
  • Naming items and services is a personal preference. There is no right or wrong way when thinking about naming.
  • We believe less is more when it comes to adding items and services as it’s easier to communicate among your team when there are fewer options.
